Quotes that win work — and convert cleanly

A good quotation does two jobs: it presents your price professionally, and it sets expectations before any work begins. Showing an itemised scope, the 5% VAT where it applies, a clear validity date, and your payment and delivery terms removes ambiguity and speeds up sign-off.

A quotation is not a tax invoice — it does not request payment and it does not, by itself, charge VAT. Once the client accepts, you issue a proper tax invoice for the supply.

This template gets you a polished quote quickly. When you're ready to stop re-keying, AIMuhaseb lets you convert an accepted quote into an invoice in a click.

FAQ

Quotation template questions

What is the difference between a quotation and an invoice?

A quotation is a proposed price for goods or services, sent before the work is agreed — it is not a demand for payment and usually has a validity period. An invoice is issued after the supply is agreed or delivered and requests payment. In the UAE, a VAT-registered business issues a tax invoice, not a quotation, to charge VAT.

Should a quotation show VAT?

It is good practice to show VAT on a quotation so the client sees the full expected cost. If you are VAT-registered, indicate the 5% VAT and whether prices are VAT-inclusive or exclusive, so there are no surprises when the tax invoice follows.

How long should a quotation be valid?

That is your choice — many UAE businesses set a validity of 14 to 30 days. Including a clear validity date protects you from being held to a price after your costs may have changed. The template includes a validity field.

Is this quotation template free?

Yes, it is free to download and use. When a quote is accepted, AIMuhaseb lets you convert quotations into tax invoices and delivery notes without re-keying the details.
